The October meeting of the HOA Board was called to order at Mary Hill’s house on Monday, Oct.18, 2021 at 7:00pm. Members in attendance: Michael Ball, Teresa Powell, Lynn Guinn, Agnes Johnson, Mark Stolz, Mary Hill, & Jeff Hoetmer. The August minutes were approved as written (unan), as were the minutes from the Sept. general meeting.
The first order of business was to elect officers for the 2021-2022 year. A motion was made to retain all the current officers in their present jobs for the next year– Mike Ball (Pres), Teresa Powell (VP), Lynn Guinn (Treasurer), and Mark Stolz, (Secretary). The motion received a 2nd, and it was approved unanimously. Mary Hill was then voted in as Zone 2 rep.
Discussion was held on the quality of service being provided by HOA Mgmt., and it was decided that the Board would write a letter to Rodney to call some things to his attention– failing attendance by HOA Mgmt. at the monthly Board meetings, not collecting fees for non-compliance issues (3 home owners had compliance issues), and neighborhood inspections not being performed on a regular basis. Mike took the action to draft the letter, which will be forwarded to Mark for review & input. Lynn made note that HOA Mgmt. has done some good things for the Board as well, but ALL attendees think the letter is warranted.
The Fall Festival was discussed, and it was a general consensus that it went well. Though we budgeted $500 for the event, donations helped offset that amount, and the net amount spent was closer to $300. The Board discussed moving the event next year to October to try & catch a cooler day, but all in all, the event was viewed as a success. Many thanks go out to Jana Pote & her committee for all their hard work on that. We also need try to figure out a way to get more neighbors to attend next year. The Board will also get in touch with our community police officer to see about curtailing some of the excessive fireworks shot over the lake on the next July 4 holiday.
A note was sent to the Board, saying there was still a problem with the sprinklers at the Maple entryway. Mark took an action to contact Dave Pote to see if there is an issue there. Since the sprinklers go off so early, nobody could confirm if they are still running right. More to follow on this.
Brad Sweet has updated the neighborhood mailing list, and copies will be forwarded to all Zone reps and the officers.
The Board discussed putting up the 3 new signs we have, and it was decided that we would ask for volunteers to help with that. 2 post holes per sign will need to be dug, and the old posts will need to be removed. It was also decided that the Board would see about attaching an add-on to these signs that says “A Covenant Community” at the bottom, per a suggestion from one of the home owners.
Lynn reported that some work had been done on the large tree branch that is in the lake towards the south end. The Board will organize some volunteers to see about removing it from the water, cutting it up, and getting it hauled off. Lynn thought it would take at least 4 guys 3-4 hours to get that done.
The meeting was adjourned at 8:15pm. The next Board meeting will be at 7pm on November 15 at a yet-to-be determined location.
